Short, honest answers to what clients most often ask about AI and automation.

What is WinSphere?

WinSphere is the AI & automation partner for B2B service firms, founded by Rafael Matabadal. We determine which systems you should build and in what order, and then build them: the foundation first (clean data, connected systems), then the workflows that cost your team time. For recruitment agencies, accountancy firms and B2B service providers of 10 to 50 FTE in the Netherlands and Europe.

An AI and automation partner determines which systems you should build and in what order, and then builds them. Concretely that means: integrations between your tools, clean data pipelines and AI steps that take over your recurring work. At WinSphere the deliverable is always a working system in production, not advice or a demo, with one accountable architect, Rafael Matabadal.

Yes, and that is exactly our first step. AI or automation on top of messy data only automates the chaos faster. We determine the order, clean up the data and connect the systems, and only then do we automate. That is what we call foundation first.

n8n is the automation platform on which we connect your tools and build workflows that you keep under your own management. All three connect tools, but they differ in flexibility and ownership: Zapier is the simplest for individual integrations but becomes expensive and limited once things get more complex, Make sits in between, and n8n gives the most control, can be self-hosted and stays affordable at volume. That is why we build serious workflows on n8n, without vendor lock-in, and you remain the owner.

An engagement consists of a one-off setup fee (from €2,500) and a fixed amount per 4 weeks (from €749) for management and further development. Priced on value, not on hours. The exact price depends on your situation and is determined together in the call; this gives you an indication.

A first system typically goes live within a few weeks. We start with your biggest operational leak, so you see results quickly. Larger engagements are phased in steps, so you can adjust along the way.

We work best with B2B service firms of 10 to 50 FTE, where the most time leaks into manual work and the gain is greatest. You do not need to be big or technical: we start with one bottleneck and build out from there.

In recruitment we automate the chain from sourcing to follow-up: a sourcing agent that turns a vacancy into a screened shortlist, a layer that automatically captures and scores warm replies, and a screening that assesses every application (A-E) and gets top candidates contacted within minutes. The goal is more placements from your existing candidates, with the same team. See our cases for what we built.

In accountancy we tackle the capacity shortage and the intake burden: think of an intake that qualifies clients (form → risk score → PDF report → CRM, fully automatic) and invoice and document flows that remove the retyping work. Our own freelancer status check product runs that pattern live today. The goal is serving more clients without the next hire.

An extra hire does the manual work by hand, with fixed costs and no economies of scale; an automation partner automates the work itself, so your team produces more output without growing. You also get one accountable architect who builds the system, monitors it and grows with you, not a standalone tool and not an extra salary.

The gain is more output with the same team: time recovered from recurring work, and revenue you would otherwise leave on the table, a warm reply that does not go cold, a candidate from your own database. We deliberately start with your biggest leak, so the first automation pays for itself in saved hours before you expand. Hard, named numbers will follow as soon as a client gives permission.

Yes, that is exactly what this is for. Instead of hiring more people to do the same manual work, we automate the recurring workflows, so you can handle more work with your current team. Your operation grows without your payroll costs rising proportionally.

Automation follows fixed rules: step A always triggers step B, reliable and predictable. An AI agent can assess and decide within the space you give it, summarise or categorise an incoming email, score a candidate. In practice we combine both: fixed workflows as the backbone, AI steps where judgment is needed.

Yes. We set up processing in accordance with the GDPR and work with your existing, connected systems, so your data stays in your environment. We record who processes what; see our privacy policy for the processors and agreements.

Yes, because we deliberately build them for that. Because the foundation is right first and we build on n8n, the workflows scale with more volume and more people. As you grow we refine and expand them, so the system moves with you instead of breaking.

It means we get your foundation in order first before we automate anything: clean data, connected systems and a clear process. Most AI projects do not fail because of the AI, but because the foundation underneath is shaky. We reverse the order, and that is why with us it actually keeps running in your daily operation.
